Tutoring Terms & Conditions

1. Tuition fees

  • Tuition is charged at £50 per hour for face-to-face sessions. Fees are reviewed periodically, and any changes will be communicated in advance and will apply to future lessons only. Lessons already completed or booked at the previous rate will not be retrospectively affected.

  • Sessions will be invoiced digitally via Stripe following each completed lesson.

  • Payment is due within 24 hours of the invoice being issued. Failure to make payment may result in future lessons being suspended until the outstanding balance has been settled.

  • By booking lessons, you agree to these payment terms.

2. Payment

  • Invoices are sent electronically through Stripe.

  • Payment must be made within 24 hours of the invoice being issued.

  • If payment for a previous session remains outstanding, the tutor reserves the right to suspend or cancel future scheduled sessions until the account is brought up to date. The tutor also reserves the right to decline further bookings where payment remains persistently overdue.

  • Persistent late payment may result in tuition being discontinued.

3. Cancellation by the parent / student

  • A minimum of 24 hours' notice is required if a session needs to be cancelled.

  • Cancellations made with less than 24 hours' notice may be charged at the full session fee. Illness and genuine emergencies will be considered on a case-by-case basis at the tutor's discretion.

  • Failure to attend a scheduled session without notice ("no-show") will be charged at the full session fee.

4. Cancellation by the tutor

  • If the tutor needs to cancel a session, they will provide as much notice as possible.

  • No charge will be made for any session cancelled by the tutor.

  • Where possible, the tutor will offer a suitable alternative date and time to reschedule the missed session. If an alternative session cannot be arranged, the fee for the cancelled session will be waived or refunded as appropriate. The tutor will not be liable for any additional costs or losses arising from a cancelled session.

5. Ending tuition

  • Either party may end ongoing tuition by providing a minimum of 14 days' notice. Lessons already scheduled during the notice period will remain subject to these Terms & Conditions, including the cancellation provisions. 

  • Outstanding invoices and any fees properly due under these Terms & Conditions remain payable following termination.

  • The tutor reserves the right to end tuition where appropriate and may do so immediately in circumstances involving non-payment, repeated cancellations or non-attendance, abusive or inappropriate behaviour, safeguarding concerns, unsafe working conditions, a breakdown in the tutor-student or tutor-parent relationship, or any other circumstances which prevent tuition from being provided safely or effectively.

6. Punctuality

  • Please ensure students are ready to begin at the agreed lesson time.

  • If the student arrives late, the lesson will normally still finish at the originally agreed time and the full session fee will remain payable.

  • If the tutor is delayed, they will notify you as soon as possible and either make up the lost time or adjust the fee accordingly.

  • If a session overruns due to circumstances outside either party's control, any additional time is at the tutor's discretion.

7. Missed sessions

  • Missed sessions that are not cancelled in accordance with these terms will be charged in full.

  • Repeated missed appointments may result in the regular time slot being withdrawn.

8. Tutor availability

  • Tuition is provided subject to availability.

  • The tutor cannot guarantee the availability of any particular time slot indefinitely.

  • Every effort will be made to maintain a regular weekly time slot during term time.

  • During school holidays, tutoring hours may be more flexible and can be arranged by mutual agreement, subject to availability.

  • A regular weekly lesson time is reserved for the student. Repeated cancellations, missed sessions or prolonged breaks may result in that slot being offered to another client.

9. Student commitment

To gain the greatest benefit from tuition, students are expected to:

  • Attend sessions regularly.

  • Arrive with any required materials (typically provided by me in any case)

  • Make a reasonable effort to complete any agreed independent work.

10. Parent/Guardian/Carer responsibilities

For students under 18:

  • A responsible adult should be contactable during the session.

  • Parents/guardians should provide any relevant information that may affect the student's learning or wellbeing.

  • For face-to-face tuition taking place in the student's home, parents/guardians are responsible for providing a safe, suitable and reasonably quiet teaching environment and for informing the tutor of any circumstances within the home that could reasonably affect the tutor's safety or ability to deliver tuition.

  • Parents/guardians should inform the tutor of any diagnosed learning needs, medical conditions or circumstances that may affect tuition where they consider it appropriate to do so.

  • The tutor provides educational tuition and is not acting as a childcare provider, babysitter or substitute for parental or guardian supervision. Parents/guardians remain responsible for the student outside the tuition session and must ensure that a responsible adult is contactable throughout any session involving a child under 18.

11. Illness

  • Parents/guardians should not arrange face-to-face tuition where the student or another person in the household has a contagious illness or symptoms which could reasonably put the tutor at risk. The tutor reserves the right to request that a face-to-face session be postponed where they reasonably believe there is a risk to their health.

  • Where a face-to-face session cannot take place due to illness, the tutor may offer an online lesson as an alternative where practical.

12. Safeguarding and DBS

  • The tutor holds an Enhanced DBS Certificate and subscribe to the DBS Update Service, allowing the DBS status to be kept current and verified when required.

  • Safeguarding is taken seriously, and any concerns relating to a child's welfare will be handled in accordance with current safeguarding guidance and, where necessary, reported to the appropriate authorities.

  • Lessons will normally take place in a communal area of the home or another suitable environment.

13. Data Protection (UK GDPR)

  • Any personal information collected, including names, contact details, addresses and relevant educational information, will be used solely for the purpose of arranging and delivering tuition, communicating with parents/carers and issuing invoices.

  • Personal information will be stored securely and handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Personal information will not be sold. Information may be shared where required by law, where necessary to protect the welfare of a child, or with trusted service providers where this is necessary to operate the tutoring business, process payments, maintain records or provide the services.

  • You may request access to the personal information I hold about you or your child at any time.

  • Personal information will be retained only for as long as necessary to provide tuition and comply with legal and accounting obligations.

14. Safety

  • The tutor reserves the right to refuse to enter or to end a session immediately if they reasonably believe that their personal safety, health or wellbeing is at risk, or if the behaviour of a student or anyone present is abusive, threatening, intimidating or otherwise inappropriate. In such circumstances, the full lesson fee may remain payable.

  • Tuition may also be terminated where behaviour is persistently disruptive or prevents lessons from being delivered effectively.

15. Recording and photography

  • Neither the tutor nor the student/parent/guardian may audio record, video record, photograph or otherwise record a tuition session without the prior agreement of the other party. Any recording agreed by the tutor must be used solely for the agreed purpose and must not be published, distributed or shared without appropriate permission.

16. Intellectual property

  • Any worksheets, resources, lesson plans, assessments, presentations, digital materials or other teaching materials created or provided by the tutor remain the intellectual property of the tutor unless otherwise stated. They are supplied for the student's personal educational use and must not be copied, reproduced, distributed, uploaded, shared with third parties or used commercially without the tutor's prior written permission.

17. Limitation of liability

  • While every reasonable effort will be made to provide high-quality tuition, the tutor cannot guarantee any particular examination result, grade, academic outcome or level of progress. Student outcomes may depend on a range of factors outside the tutor's control, including attendance, engagement, independent study, prior attainment, school requirements and examination conditions.

  • Except where liability cannot legally be excluded, the tutor's total liability arising from the provision of tuition shall be limited to the fees paid for the relevant tuition services.

18. Changes to Terms & Conditions

  • These Terms & Conditions may be updated from time to time. Any significant changes will be communicated to existing clients before they take effect.

19. Acceptance

  • Booking and attending tuition sessions constitutes acceptance of these Terms & Conditions.

​20. Force majeure

  • Neither party shall be liable for failure to perform their obligations where this results from events beyond their reasonable control, including severe weather, power outages, transport disruption, illness, governmental restrictions or other unforeseen events. In such circumstances, both parties will make reasonable efforts to rearrange the session.

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the jurisdiction of the courts of England and Wales.
